All personnel licensing applications require supporting documents to be submitted as part of the application process. Where photocopies are being provided in lieu of original documents, some will need to be certified.

A certified copy is a copy of a document which is signed by an authorised person who has seen the original document and can vouch that the copy has been made accurately and honestly. Photocopies of documents that have been sent by email cannot be certified as true copies as the certifier has not compared it to the original document.

Please note that the certification requirements vary depending on the type of document that is being provided.

Engineer licences



If you already hold an Aircraft Maintenance Licence (AML) and wish to amend the licence, you will need to return the original licence to us at the below address before we can issue your new licence. A photocopy of the licence is not sufficient.

Proof of identity



You will be asked to submit proof of ID with certain licensing applications.

There are two ways to provide your ID document:

  • by providing a colour photograph of you holding your photo ID
  • by providing a certified colour copy of your photo ID

Providing a photograph of you holding your photo ID

The option to provide a photo of yourself holding your ID is provided as an alternative to obtaining a certified copy.

How to take the photo:

  • take the photo in a room with enough light
  • select the highest photo quality on the device you are using to take the photo
  • hold up your ID document next to your face
  • make sure both your head and shoulders are visible in the picture
  • make sure your ID is clear in the photo and not too far away. Nothing on the ID can be covered. The picture on your ID must be clear and all text must be legible.

If your photo is not of high enough quality (sufficiently sharp and not blurry), we won’t be able to accept it and will therefore request a better or certified copy, which will delay your application.

We are unable to accept a photo where the passport image is reversed. Please ensure your ID document is the right way around so it is readable, before submitting your photo.

Providing a certified copy of your photo ID

Alternatively, you can provide a photocopy of your photo ID that has been certified by someone working in a 'recognised profession'.

Certification format

The certifier should write the following on each copy:

  • the declaration “I have seen the original document and I certify that this is a complete and accurate copy of the original passport for [applicant name]”
  • their signature
  • their name (in block capitals)
  • their position/job title (for example, "Head of a Part 145/147 Organisation at [company name]")
  • their CAA reference number (where applicable) or their professional qualification number
  • the date

It does not matter where on the page the certifier enters the certification text, as long as they don’t write over the photo or passport details.

Example

When the certifier enters the certification text on the page, ensure that they do not write over the photo or passport details.

Accepted certifier

In order to certify a document for a licensing application, the certifier must meet the following criteria:
The certifier must:

  • be 18 or over
  • work in (or be retired from) a ‘recognised profession’

The certifier cannot be someone:

  • you’re related to by birth or marriage
  • you’re in a relationship with or live with

Recognised professions

The following are considered to be a ‘recognised profession’.

Aviation professionals:

  • Airline Pilot - must hold a UK issued pilots’ licence
  • Base Captain
  • Chief Flying Instructor (CFI)
  • Engineer - must hold a UK issued engineers’ licence
  • Fleet Manager
  • Head of Flight standards at an Air Operator Certificate holder or authorised signatory
  • Head of Training at your Approved Training Organisation
  • Postholders of a Part 145/147/MG/CAMO/CAO Organisation
  • UK-approved flight examiner

Non-aviation professionals:

  • Accountant
  • Bank or building society official
  • Barrister/Solicitor
  • Commissioner for Paths
  • Councillor, for example local or county
  • Civil Servant (permanent)
  • Dentist
  • Doctor
  • Financial services intermediary, for example a Stockbroker or Insurance Broker
  • Fire service official
  • Justice of the Peace
  • Local government officer
  • Member of Parliament
  • Minister of a recognised religion (including Christian Science)
  • Nurse (RGN or RMN)
  • Officer of the Armed Services
  • Warrant Officers and Chief Petty Officers

Marriage Certificates or Deed Polls



If you need to change the name on your licence, we may ask for a certified copy of your marriage certificate or deed poll certificate to be submitted with your change of details application. Your certificate can be certified by someone working in a 'recognised profession'.

  • the declaration “I have seen the original document and I certify that this is a complete and accurate copy of the original [marriage certificate] for [applicant name]”
  • their signature
  • their name (in block capitals)
  • their position/job title and company (for example, "Head of a Part 145/147 Organisation at [company name]")
  • their CAA reference number (where applicable) or their professional qualification number
  • the date

Logbooks



You will need to provide certified copies of your logbook/worksheets to support your application.

You must provide sufficient evidence to show that you meet the practical maintenance experience on operating aircraft in compliance with UK Acceptable Means of Compliance (AMC) 66.A.30(e).

Who can certify your logbook(s)

Postholders of a Part 145/147/MG/CAMO/CAO Organisation or another Part-66 licence holder can act as certifiers for logbooks/worksheets.

Certification format

The certifier should write the following on each copy:

  • the declaration “I have seen the original document and I certify that this is a complete and accurate copy of the original logbook for [applicant name]”
  • their signature
  • their name (in block capitals)
  • their position/job title and company (for example, "Head of a Part 145/147 Organisation at [company name]")
  • their CAA reference number (where applicable)
  • the date

Basic Training Course Certificates



For certain applications, you will need to provide a certified copy of the UK/EASA approved Part 147 Basic Training Course Certificate (if claiming a reduction on the experience requirement).

EASA Course Certificates

Please note the EU/EASA Certificates of Recognition (CofR) may continue to be acceptable for inclusion on an UK Part-66 licence dependant on the date of issue:

  • Any EASA Certificate of Recognition issued by an EU Part 147 MTOA (with a Form 11 dated during the two-year saving legislation period) - will be acceptable in support of UK Part 66 Licence. The course start date cannot exceed more than three years at the time of applying for the type rating.
  • Any EASA Certificate of recognition issued by an EU Part 147 MTOA dated after 01 January 2023 will not be acceptable in support of a UK Part 66 Licence.

In the event that an EASA Certificate of Recognition is acceptable, the EU/EASA Organisation approval certificate that was valid at the time the course was completed must be submitted along with the CofR to support the application.

Who can certify your Course Certificate

Postholders of a Part 145/147/MG/CAMO/CAO Organisation or another Part-66 licence holder can act as certifiers.

Certification format

The certifier should write the following on each copy:

  • the declaration “I have seen the original document and I certify that this is a complete and accurate copy of the original course certificate for [applicant name]”
  • their signature
  • their name (in block capitals)
  • their position/job title and company (for example, "Head of a Part 145/147 Organisation at [company name]")
  • their CAA reference number (where applicable)
  • the date

Organisation Approval Certificates



If you completed your training with a non-UK organisation, and you are providing non-UK Certificates of Recognition/Exam Certificates/Basic Training Course Certificates, you will also need to provide a copy of the EU/EASA Organisation's most recent Organisation approval certificate (Form 11). This does not need to be certified.

Nb. This only applies to non-UK Certificates issued before 31 December 2022 that remain within their validity period. 

This is 3 years for a type certificate and 10 years for a basic module or basic course certificate.

Company Authorisation for Category C



If applying for a Category C, you will need to provide a certified copy of your company authorisation for category Cs, to support 3 years of exercising the privileges of the B1/B2 Licence holder.

Recommendations



For all applications except for Renewals and Change of Personal Details, you will need to provide a recommendation form (SRG1029). These are most commonly completed by your Quality Manager, to support your application and confirm you have met the requirements for the application.

The Recommendation can also be completed by postholders of a Part 145/147/MG/CAMO/CAO Organisation, or another Part-66 licence holder.
