Users who have ATO privileges on their e-Licensing account can log in as their organisation to view pilots’ records and make applications on their pilots’ behalf.

Getting Access

Setting up your ATO in e-Licensing

Pilots are given the option to link their e-Licensing account to their ATO. This allows the ATO to view their licensing information, view applications, submit documents and submit applications on their behalf.

If your company does not appear in the list of ATOs in e-Licensing, you will need to send an email to customerportalsupport@caa.co.uk with the subject line “Request to set up new ATO in e-Licensing”.

You will need to provide the following information in your email:

  • Name of ATO
  • ATO registration number
  • VAT number
  • Company address
  • Your company logo attached as a jpeg file

As soon as we have completed this registration process, your company will appear in the list of possible ATOs for all pilots using the system.

Giving staff members access to your ATO account in e-Licensing

Once your company has been set up in e-Licensing, you will need to provide users with access to the account.
You will need to email customerportalsupport@caa.co.uk with the subject line “ATO staff access”.

You will need to provide the information listed below for each staff member that you want to give access, and we will set up the permissions for your staff to log on.

  • Title
  • First Name
  • Surname
  • Date of birth
  • Job title
  • Business email address
  • Portal username

Each staff member must have applied for an individual portal account before we can process a request to add ATO privileges to their account.

Please note that you should only request access for staff members who are required to submit applications on behalf of your pilots and not for all staff.

Logging in to your ATO account

You can log in to e-Licensing immediately via our CAA customer portal.

Under 'Your Services' on the right-hand side, you will have the option of two services:

  1. Flight Crew e-Exams and e-Licensing
  2. ATO e-Licensing

Selecting option 1 will log you in to your own personal portal account. Selecting option 2 will log you in to the ATO account.

Documentation

With e-Licensing, we have tried to remove the need for pilots to post any documentation to us.

Pilots using e-Licensing are not required as standard to submit their original flying logbooks to us (although the CAA reserved the right to request any logbook for inspection).

We have created specific forms solely for the use of e-Licensing, which ensure we gather all the information we need to assess an application.

Checking the status of an application

To check the status of an application, you first need to bring up the pilot’s profile (going via the candidate memberships box).
Click on the ‘Licences’ or ‘Ratings’ box as appropriate and select the ‘i’ button next to the application.
For example, if the pilot applied for an ATPL you should click ‘Show All’ on the ‘Licences’ box.

If no application has been made, the ATPL will not be listed.

The status of the ATPL will be ‘unacquired’ once the application has been submitted. This will change to ‘Active’ once issued.

Click on the ‘i’ next to the ATP for more information. If the status says ‘processing’ it means that the application is still waiting to be assessed. If the status says ‘awaiting your feedback’ it means we have placed the application on hold and emailed the pilot because there is an issue or missing information.
