You can use the e-Licensing system to apply for professional pilot licences and ratings.

The online service will not be available for private pilot licences or any other kind of personnel licences at this time.

It will also exclude applications for:

  • Change of state of licence
  • Examiner authorities
  • Licence verification

Access e-Licensing

If you haven't used e-licensing before please follow the steps below which will take you through the registration process.

If you already have an account you can log in to e-Licensing immediately via our CAA customer portal. We recommend that all e-Licensing applications are submitted using Google Chrome and not Internet Explorer.

Applications that can be made using e-Licensing

Professional pilots can make the following applications using e-Licensing:

  • Initial issue of Part-FCL CPL(A)
  • Initial issue of Part-FCL CPL(H)
  • Initial issue of Part-FCL ATPL (A)
  • Initial issue of Part-FCL ATPL (H)
  • Conversion from an existing UK issued JAR-FCL CPL(A)or JAR CPL (A)/IR to Part-FCL
  • Conversion from an existing UK issued JAR-FCL CPL(H) or JAR CPL (H)/IR to Part-FCL
  • Conversion from an existing UK issued JAR-FCL ATPL(A) to Part-FCL
  • Conversion from an existing UK issued JAR-FCL ATPL (H)to Part-FCL

We reserve the right to request your logbooks at any time as part of our quality process.

*If you are claiming a credit based on holding a 3rd country ICAO licence, you may use elicensing for application but you will need to have you licence verified and apply on SRG2142 first via our postal service.

For all other applications where claiming a credit based on holding a 3rd country ICAO licence, please use SRG2142 for licence verification and apply via our postal service.

Examiners

Examiners are kindly advised to use our postal application service for any application until elicensing is available for examiner certificates.

How to get started

1. Register for a CAA customer portal account

  1. Visit our CAA customer portal and enter your email address before choosing a user ID and password. Please see our guidance on how to register for a portal account.

  2. You will be sent a confirmation email with a link to activate your account.

2. Log into the portal

When you have registered and activated your portal account please follow the steps below:

  1. Log in to the portal. We recommend that all eLicensing applications are submitted using Google Chrome and not Internet Explorer.
  2. Request access to the e-licensing service by clicking on 'Your Services' and choosing 'Flight Crew e-Exams and e-Licensing'
  3. Enter your personal details and upload a picture ID and a proof of address document.
  4. We will check your documentation and email you when access to eLicensing has been granted.

3. Import your licensing information

  1. Once you receive an email confirming access has been granted, log in to the portal.

  2. Fill in the Account Registration page. At this point, you can select your training organisation or airline, this will allow them to access your account and help you with any future applications.

  3. Click on 'My Account' and 'My Licences' and fill in the final registration page. Clicking 'Register' will import all of your licensing information.

4. Make an application

Once you have access to the e-licensing system you can:

  1. View your licences, ratings and medical status
  2. Select a licence or rating and see what requirements you need to meet to obtain it
  3. Enter any required information to begin an application
  4. Pay and submit your application.

5. We check your information

  1. Once you have submitted an application we will check the information and documents that you have provided within our normal turnaround time.

  2. If we have questions over your application, we will send you an email. Please respond promptly to requests for further information. This will help speed up the processing of your application.

  3. You can check the status of your application at any time in your online account by going to 'My Licences' or 'My Ratings'' as appropriate and clicking on the relevant line.

6. Receive your licence or rating

When your licence is ready to issue we will post it out to you.

You can set up courier details when you apply or request that you collect the licence in person.

Help with your account

Cannot activate account

Please check your junk folder if you have not received the activation email.

Please note that certain versions of Microsoft Office, such as Office 365, have Advanced Threat Protection.

This “wraps” the activation link we send you to make it safe. However, this removes your personal details meaning the activation fails.

If you face this problem, you have 2 options:

  1. Turn off Advanced Threat Protection
  2. Add caa.co.uk to your safe links

If these solutions do not work, please confirm the username and email address associated with your portal account in an email to FCLweb@caa.co.uk and our IT department will activate your account.

Cannot finish the registration process – final registration page keeps failing

The final registration page asks you to confirm your gender and place of birth. When you click 'Register' this should import your licensing information in to your portal account.

If this import has not worked, you will be presented with the same registration page again. If this happens, please contact us by phone or email.

Forgotten username or password

If you have forgotten your username, please call us and provide your CAA reference number and date of birth. Our phone operators will be able to confirm your username. 

If you have forgotten your password, please use the 'rest password' link presented on the log in page.
